In order to ensure that your experience with ENTOPIA PROJECT is enjoyable and safe, we have established certain General Terms and Conditions that you need to consider before making a reservation and participating in our activities. Registering for participation in ENTOPIA PROJECT excursions implies the unconditional acceptance of the following General Terms and Conditions. Please read them carefully and let us know if you have any questions or objections.

General Terms and Conditions for Participation in Outdoor Activities Programs in Greece

• General Terms

We make every possible effort to ensure the safety and well-being of participants in outdoor activities. However, despite adhering to strict safety rules, using state-of-the-art equipment, and selecting the safest routes, nature activities carry the risk of accidents or even death. Participation in these activities requires awareness and acceptance of this risk, for which our company assumes no responsibility. Additionally, our company is not liable for injuries or loss of life caused by natural disasters.

The participant acknowledges and understands the requirements and risks associated with the activities in which they participate, as well as the personal responsibility they assume for their own safety.

For this reason, our company recommends that every participant obtains accident insurance, which should cover their participation in outdoor activities provided by our company.

Each participant confirms that they are in excellent physical and mental health by completing the corresponding questionnaire. In case of any medical conditions or pregnancy, they must be disclosed during the registration process. If there are any medical conditions (pre-existing or new) that potentially may affect a participant’s involvement (such as allergies, endocrine, cardiac, respiratory, orthopedic, and other issues, as well as pregnancy), written consent from an appropriate medical specialist must be submitted for participation to be approved.

The trip leader has the right to exclude any participant if they deem that their physical or psychological condition puts themselves or other participants at risk, or if they do not meet the appropriate requirements for the excursion.

The trip leader has the right to remove any participant who behaves in an antisocial manner or poses a danger to themselves or other members of the group. In such cases, participants acknowledge that they will not be entitled to a refund or any other form of monetary or non-monetary compensation.

ENTOPIA PROJECT reserves the right to exclude the interested individual from the activity if they have not arrived at the meeting point on time and 15 minutes have passed since the scheduled time. In this case, the customer cannot request a refund of any money already paid or compensation for any other damages. On the contrary, they may need to cover additional costs themselves (e.g., transportation back to the starting point).

Participants are responsible for taking care of the equipment provided by ENTOPIA PROJECT, as well as the transportation vehicles (buses, vans, etc.) used during the excursions. In case damages or losses occur to the aforementioned equipment and transportation vehicles due to the participants’ negligence, the participants themselves are solely responsible for their repair or replacement.

In the event that participants have not reached the age of 18, they can participate in activities only under the supervision of their parents/guardians, with their written consent. Additionally, participants must meet the required age for participation in the specific activity and comply with the present general terms and conditions.

• Participation Request

A participation is considered valid when the interested individual visits the website of the ENTOPIA PROJECT (www.entopiaproject.gr) and completes the inquiry form, after contacting the ENTOPIA PROJECT and accepting the present Terms of Participation, the participant fills out and signs the corresponding questionnaire and proceeds with the payment of the respective fee to the bank accounts indicated below, either through a credit/debit card or in cash. In the case of a bank transaction, the participant’s obligation to make the payment for the participation fee in the specific activity is fulfilled upon the amount appearing in the designated bank accounts of the organization. The payment of the fee, whether by deposit to the bank accounts of the ENTOPIA PROJECT, credit/debit card (only for contactless transactions), or in cash, automatically implies that the depositor is fully informed about the program and accepts the general terms of participation.

• Cancellation Policy

Any cancellation should be communicated via email to info@entopiaproject.gr, or via phone: +306978788183

The cancellation policy varies from trip to trip and is mentioned either in the detailed description of each excursion or through direct communication with the team of Entopia Project.

• Modification of the excursion program by the Company

The destination, program, and activities of the excursion may be modified or partially canceled for any reason, especially in case of adverse weather conditions or other technical, urgent, or uncontrollable factors, including any extraordinary measures taken by authorities, that hinder the safe access, execution, or conduct of the excursion program as planned, at the discretion of ENTOPIA PROJECT. In such cases, the program and activities will be adjusted accordingly, and the excursion will be considered as executed even with a different program or destination, and therefore the service will be deemed to have been received/provided. Any additional expenses incurred will be borne by the participants, and any withdrawal due to non-acceptance of the alternative program does not entitle them to compensation or a refund of the participation cost for services not produced.

If it is not feasible to modify the program, and ENTOPIA PROJECT determines that the excursion needs to be completely canceled for the aforementioned reasons, there may be an option to reschedule the excursion date, which will serve both ENTOPIA PROJECT and the participant. If this is not possible, the participant will receive a full refund.

• Modification of the excursion program by participants

Any change (e.g., number of participants, etc.) is considered a cancellation and is subject to the above cancellation policy.

• Insurance

• Personal Data

Protection of Personal Data (GDPR):

ENTOPIA PROJECT, with contact details: phone: +306978 788 183 and email address: info@entopiaproject.gr, acting as the data controller, takes care of the protection of the personal data it collects and processes, in compliance with the applicable European and national legislation on personal data protection, particularly the General Data Protection Regulation (GDPR) (EU) 2016/679 and the national law 4624/2019. ENTOPIA PROJECT will collect and process personal data for reservation processing and service provision purposes. The personal data will be used solely for the agreed purposes and will be retained in accordance with the applicable laws on personal data protection. Each participant consents to the collection, registration, and storage of their personal data requested, solely for the purpose of providing the requested services by ENTOPIA PROJECT. ENTOPIA PROJECT may disclose the participants’ personal data to partners involved in the implementation of the excursion.

Only with explicit consent from the participants, ENTOPIA PROJECT will send informative and promotional messages regarding future excursions, offers, and events.

Similarly, only with explicit consent from the participants, ENTOPIA PROJECT may publish photographs and videos taken during outdoor activities for promotional purposes in various media, such as print materials, website, social media, etc.

All data is kept confidential and secure. According to Regulation 2016/679, each participant has the following rights: a) information and access, b) rectification, c) objection, d) withdrawal of consent, and, if the conditions of the Regulation are met, e) erasure, f) restriction of processing, and g) data portability. For any questions regarding the processing of participants’ personal data by ENTOPIA PROJECT or the exercise of any rights, participants can contact our company by sending a message to info@entopiaproject.gr. Finally, each participant has the right to lodge a complaint with the Hellenic Data Protection Authority (https://www.dpa.gr/en/citizens/gdpr).

All materials provided by ENTOPIA PROJECT, such as photos, videos, and texts, remain the intellectual property of ENTOPIA PROJECT and cannot be used without the company’s consent.

• Other Terms

ENTOPIA PROJECT reserves the right to change these terms and conditions without prior notice, but it is obligated to communicate them to the participant before their participation in the excursion.

These terms and conditions are governed and interpreted in accordance with the laws of Greece. Any dispute or controversy arising from or related to these terms and conditions or our excursions will be resolved through amicable agreement. If an amicable agreement is not reached, the dispute or controversy will be resolved by the competent courts of Thessaloniki, Greece.
